6 Tools That Will Help You Manage A Remote Team Effectively

How to Manage A Virtual Team

Remote working has grown exponentially in the past few years, and it shows no signs of slowing down. Remote work enables companies to hire the best people and gives employees more control over their working environment. One of the things that has allowed for this remote boom is the growth of tech tools designed to support virtual teams. In order to make the most out of any given remote working arrangement, managers need to become familiar with these tools and what they can offer them.

Document Management

The first thing you are going to need is a cloud-enabled platform for all of your company’s documents. Google Drive is the most popular option, with shared document editing that is ideal for collaborating teams. It’s a great piece of software, but you should make sure you are using all the tools it offers. The Muse has a great list of tips and tricks that will help you make the most of your subscription, from learning the best shortcuts to pulling out text from PDFs.

Knowledge Base

One of the first (and biggest) mistakes managers make when recruiting remote teams is ignoring onboarding. Your remote workers should be introduced to their job and the company with the same care as an in-office employee would.

Of course, it can be harder to answer every question, so it pays to have a comprehensive internal knowledge base at your workers’ disposal, containing all the info they need to get started. ProProfs Knowledge Base is an industry favorite tool for this, and it even has a free option for small businesses.

Video Conferencing

Chat functions are great for quick communication, but you can’t beat having actual face-to-face conversations. In remote teams, “face-to-face” often means video conferencing. There are several apps available for this. TechRadar rates Zoom as the best free option, but others are ideal if you want extra functionality. For example, Adobe Connect allows you to download and edit your calls as videos, and design how you want the call to be laid out.

A handy extra tool you can use for video conferencing is a digital transcription service. For as little as $1 for 10 minutes of audio, you can get a full transcript of your calls, which can then be sent to all parties as a full set of notes on the meeting. Some of these services offer up to 95 percent accuracy and can have your transcript ready in five minutes.

Slack Integrations

Slack is the top name when it comes to remote team communication tools. One of the reasons for its success is the huge availability of integrations and apps you can add to customize your experience to your team’s needs. Some of the best Slack integrations include Time Doctor, which helps you track your team’s time input and productivity, and Donut, which helps build personal connections within your team to boost morale and fight feelings of isolation from working remotely.

Timezone Manager

It’s already complicated enough coordinating a team’s schedule when they are in the same office, but this can easily become a nightmare when they are spread across different time zones. A simple tool like World Time Buddy can help with this; just pick the relevant time zones, and you will get a view of where people’s work hours will overlap.

Password Manager

Research has shown that 81 percent of company data breaches are due to poor passwords. One of the easiest ways to protect your company and your customers’ data is to ensure everyone is using strong passwords. However, these can be hard to keep track of, especially in a remote team, which is where a password manager comes in handy. There are several great options available, most of which are free.

Gone are the days where “working from home” meant struggling to be understood over a crackly and confusing conference call. Nowadays, tech has enabled remote teams to work smoothly and effectively with each other. In many cases, you will find dozens of great tools, many of them free or very affordable, so always remember to do your research to find the best fit for your team.

4 Dos and Don’ts for Keeping Your Business Data Secure from Scammers

How to Avoid a Data Brach

Every business has information they need to protect. Whether it’s personal client details or sensitive account information, securing your online data should always be a priority. Here are some simple steps you can take to prevent scammers and hackers from taking away from your business success.

Don’t Get Hooked by Phishing Scams

Chances are, you’ve come across a few articles on phishing. Phishing is aptly named because scammers attempt to lure users with enticing links or information requests. For example, an employee could receive a “prize notification” that requires them to open a link, but that link is set up to skim sensitive information from that employee as well as your business. Phishing can damage your bottom line if you don’t take preventative precautions, such as setting up standard spam filters for email accounts and helping employees recognize online scams before it’s too late. However, if you fall prey to a phishing scam and believe your data has been compromised, it’s important to call in professionals such as Secure Data Recovery to help get your business back on the right track. Don’t attempt to do any data recovery yourself; instead, let the pros handle the recovery process to ensure no further issues arise.

Do Create Internet Protocol for Employees

Phishing is not the only cyber danger that can threaten your business. Hackers and scammers are constantly on the hunt for ways to access your data. As a responsible business owner, you should make sure proper protections are in place to safeguard any sensitive information that could be accessed via your servers or online activity. This can, and should, include using appropriate data restrictions to prevent employees from accessing inappropriate or malicious websites, as well as using proper antivirus and encryption software for all devices.

Just as with phishing scams, however, one of the best ways to protect your business is to establish internet access rules for all employees. Without proper notification of these rules, employees may unknowingly put your business at risk by revealing private information via email or using unauthorized cloud storage for business purposes. So, make sure these policies are outlined for all new employees and made readily available for any staff member who may have questions.

Inform Clients About Any Breaches

If your business does experience a data breach, what you do next can determine how well your business recovers from this cyber crisis. Most internet security experts have slightly different takes on what should be a business’s first priority after a data breach, but the general consensus is that business owners need to have clear communication with their IT department, general staff, and customers during those recovery efforts. You have to be able to work with all parties involved to figure out what went wrong in the first place as well as how to prevent hackers from accessing your data in the future.

Customers also need to be informed of possible data leaks. In fact, all states currently have legislation in place that requires businesses to inform customers whenever their information may have been accessed by unauthorized parties. You should check your state’s specific requirements, but know that this is a step you cannot skip.

Stay Up to Date on Cyber Security Threats

Just as our use of the internet is constantly evolving, hackers are consistently upgrading their tools for accessing information. Digital assistants, artificial intelligence and even cloud storage can all eventually make businesses more vulnerable to new security threats, so whether you experience a data breach or not, always stay aware of all the ways that cyber criminals could be targeting your business. It also helps to know that no business is immune from data breaches or cyber attacks. Many retail chains, major corporations and even metropolitan cities were affected by cyber attacks in recent years, so make sure you use the tips above to keep your business safe in the future.

There’s no way to completely insulate your business from a cyber attack or data breach, but you can always take steps to improve your online security. You owe it to your business and your customers to keep sensitive data secure and take the proper steps after an attack happens. Doing so may just mean the difference in whether your business thrives or dies after an online attack.

Instagram the Love Story Part 3:

Instagram Marketing

I knew I loved him, and what I admired about him was his deep desire for authenticity.

Since we have met all of these new faces, "He" never lost sight of being "himself" and constantly finds new ways to show up and share "His" gifts.

It started out simple, "He" was shy and just left love notes.

Then "He" began sharing it with more people. as "He" explored new places to hang out. "He" recognized that he could bring ALL parts of himself, and as "He evolved - the placed "He" hung out evolved as well.

"We" shared words, thoughts and now even show up sometimes personally to meet these virtual souls around us through video.

Always changing.
Always evolving.
Instagram, I love you.

If you would like to have a relationship like #Instagram and I do, with authentic selling, a place to be yourself, and a place to meet your tribe - don't hesitation to reach out.

We exchanged words, we shared photos, we met so many new people.
It just felt like home.

I wanted to learn everything about my love, so we spent a lot of time together, I asked a lot of questions, we even tried ALOT of new things - but those are secrets to share for another day.

They Told Me I Could not Do It! I Proved Them Wrong AGAIN

business coach

I have been told SO many times in life:

You can't do that.
You won't succeed.
You won't make money doing that.
If you don't do XX you will XX (fill in the blank, I cannot begin to list them all!)

I am not sure how I managed to stay on track after being knocked down. I am not talking about just business here.

Can I be real with you?

I remember back to my teen years when I wanted to attend cosmetology. (Wasn't that what every girl dreams of? Unlimited access to hair, makeup, nails for HOURS each day?)

I digress.

I remember the day I told my father, the person who was supposed to build me up, sharing what my dreams were, His exact words:

You will never make money doing that, and I am not going to waste my money on it because I know you will never follow through.

Ouch! That stings!

So what am I hearing and interpreting in my mind and heart is I am not valuable enough for you to invest your money in, I am a failure, and my dreams are not important.

How do you think that impacted me?

Well for most, it would knock them down and they would give up. I had the opposite effect. I was tired of hearing this story repeated over and over and a switch went off. I was going to prove him wrong! I got the money together that summer for enrollment and hustled in my summer job to raise enough money to attend. My high school paid for the rest, I only needed enough to cover supplies, thank goodness.

Now to give you an understanding, my father and I did not have an ideal father-daughter relationship. We were more like oil and water.  (Oil and water don’t mix no matter how much a person might try.)

I ended up completing cosmetology and averaged a 90-95 average. It was absolutely something I enjoyed, After graduation, I worked in various salons, but I realized the physical aspect of the work and did not stay on this career path for long. Does it mean that I failed? No, I learned a lot along the way, and still utilize a lot of it to this day. It was an incredible experience, and do not regret the time or effort put in. After all, is this not how we find our way?

Let's flash ahead 10 years

When I started my coaching business ten years ago, I had so many naysayers, especially because coaching was not yet as popular as it is today. That I could not make money, that I could not sustain myself, that people do not need that kind of service. Imagine that! Look at where we are now! The coaching industry has certainly taken off since then.

I trusted myself and knew that it was my calling. My passion since I was a child if you can imagine that, serving others and helping them to find a way to blossom and grow. It was who I was, how could I not do this?

I maintained my coaching part time, regularly attended classes to further my education, and fully embraced my destiny. Nothing anyone said could hold me back, nothing could stop me.

Except for the New York State Unemployment Office!

I was so close to fully stepping into my dream, I had left my corporate job now, about 5 years ago with severance pay, and thought this is it! It is time for me to go all in and launching my coaching practice.

I hit a roadblock!

When I applied for unemployment, they said that you could start a business while unemployed but it needed to be a business I never did before. I thought to myself, great here is my chance to put 110% into my coaching business and I have hit a wall.

I did not stay down for long.

It was time to get creative because I knew that working in an office was no longer for me. Then all of the sudden, I knew exactly what it was! It was as if I prepared myself for this very moment for the last 10 years. I needed to do business coaching, but I was going to do it differently.

I looked at what I wish that I had when I started my coaching business, and there it was in flashing neon colors. A business coach that guided me in terms of the systems, a transformational coach that helped me as a person when I was not showing up, and a team to help me where I could not help myself in the back end of my business!

I was told again, you cannot do that!

Well, you already know how I respond where I hear that, watch me! I went to Score as per NYS Unemployments advice, and they were supposed to be my mentor to build MY business. Well because my business did not fit into THEIR business model, THEIR experience and THEIR ideas I was told that it cannot work. For one they said I need a masters in business and $60k in savings in the bank.

I cried when they told me this.

It brought me back to those same feelings when I was a young teenage girl, and I felt defeated. I was so discouraged, I thought how will I ever start a business if that is what is needed? Then I remembered what I did when I wanted to go to school . . .

And I did it anyway!

I knew that I had the knowledge to do this, I studied so many programs to prepare my own business, I was the business development director at my last job and tripled their monthly gross from 400k to $1mm per MONTH! Now all the years of hard work, the studying, the long hours it brought me to this very moment to utilize ALL of my skills.

This my friends was the birth of
Virtually Empowered in 2015.

I took a change and changed everything. I moved into my dream apartment on the beach with no income, just enough savings to cover me for 3 months - talk about setting a hard set goal! My unemployment would end just about the same time as my savings. So it had to work!

I put my heart and soul into this business. I stopped listening to what others thought I should do and I did what I knew I was supposed to do.

Here I am just 3 years later with a business that is built almost 80% off referrals alongside my coaching practice. I am feeling aligned with myself because I am doing what I know that I can do by using all of my gifts.

Here I am in 2018 with two businesses, thinking about a 3rd and all because I stopped listening to everyone else. Who are YOU listening to that is limiting you or holding you back? And when the self-doubt creeps in, whose voice is it?

I am multi-passionate, I am not confused.

I have skills that I have gained through the years, and I intend to generously use all of them. I am aware of how I thrive, and when I am busy, when I am helping others, and when all my parts are being used I feel whole.

I hope that this story has inspired you, given you the ability to trust yourself, and the knowing of what you need to do. And my friend, if you would like support along the way I would be honored to share this path of exploration with you.

Be Yourself so Your Voice Can Be Heard

Be Yourself

There is so much "noise" out there, and it can be overwhelming especially when you are starting out to determine which path to take.

I have had some many clients that have come to me, whether it was for Business Coaching or Virtual Support with the team, and I ask them a simple question:

What are you passionate about?

The response is one of 3 things:

  1. What am doing in my business right now (not as common as you would think)
  2. I am passionate about --fill in the blank--, but PEOPLE SAID I will not make money doing it, so I am doing this instead.
  3. I am not sure. I am so overwhelmed, I have lost connection to what that is.

Which do you think is the most common?
It is #2 and it breaks my heart.

So many coaches out there are doing a disservice to their clients by inputting their opinions rather than HEARING what their client's dream is and working with them to have their dream come to life.

I am not sure if it is that they do not want to put in the work or they are afraid they do not have the answers, but it is my biggest pet peeve for sure.

I have always deeply believed in authentic marketing and taking the time to explore who my clients are as a person before I understand their dreams for their business. There is a PERSON behind every business, and sometimes that is forgotten.

It is not about fitting in, it is about standing out.

Whether you work with a coach or you are finding your way yourself, please take the time to explore who you are and what you want out of your business. This is the foundation and without a foundation, similar to a home there will be cracks.

Don't listen to friends, family, coaches, and have them quiet your voice.
Just because they cannot see or understand your dream, it does not make it any less real.

Do you want to reconnect to your passion or explore your business through your own eyes, let's schedule an Introductory call and discuss what that would look like for you?

I was Born to Inspire and Serve Others

Heart Centered Entrepreneur

Is your passion to support, inspire and serve others?
Are you a healer, coach, therapist, doctor or similar modality with a passion to help others?

So am I!

I remember when I first started my coaching business 10 years ago, on my own. There was not quite as much knowledge about the support that was available to help me, so I elected to chose the path of doing it all on my own.

Ah yes, I remember it clearly. I just graduated from coaching school after an intense 10-month program ready to serve the world. When they talked about marketing in class, they almost made me feel like people would be knocking down my door.

It was crickets.

So I began venturing to create all of the necessary steps to organize a business myself. After all, for the last 20 years, I had some kind of management role in my career, and my role at the time was business development director for a law firm.

If this firm was able to trust me, my ability to grow our business consistently, certainly I could do this for myself? Right?

As I managed my full-time job at 60+ hours per week, and put my heart and soul into marketing, building my own website (yes that was interesting, to say the least) and getting my hands on every marketing how to class out there ... I was getting burnt out! I was not ready to give up though!

I took a break from my personal coaching, at least I did not market it, and after receiving a blessing to get severance from my job (this is a long story for another day), I launched Virtually Empowered.

So what sparked me to do this?

A few things to be honest. One was after my severance pay ended, I was entitled to unemployment in NY while I built my business, but it had to be a brand new business I never had before.

Initially, I was disappointed to hear that I could not officially work on my coaching business, that was so important to me as I felt as though I spent my life preparing for it. Then I saw the blessing. I saw what I was meant to do and it was crystal clear!

I was my client. I saw things differently.

I was meant to inspire other new business owners and lead them to build their business.
It was as though fireworks were going off!

business coach amanda scocozzo

I knew how many people out there, had a deep passion to serve others through various modalities, but often did not succeed in their business, because they were not focused on the "back end" of what was needed.

They became overwhelmed by the day to day tasks, unclear how to create a consistent marketing message, did not know how to reach their clients, and let's not even talk about all of the technology needed to maintain their business.

They were also burnt out from trying to figure it all out.

I saw that I was my client.

What was different was that I now had the time to apply all that I learned for my business, but was not allowed per-say if I wanted any support from unemployment. Now let's also be very clear that when you shift from a 6-Figure salary to unemployment, you are absolutely going to take every bit of help you can get to put things in motion.

This is when Virtually Empowered was born. My plan was to work with my clients as a Business Coach, Strategist, and Online Business manager while offering a team that specialized in working as Virtual Assistants for Heart-Centered Entrepreneurs

It was so easy to market to my clients, because I spoke their language, I understood their needs, and I knew how to help, What I always tell my clients, is I can see your vision, I can strategize with you, I can support you on your mindset and emotional blocks, but I cannot "push the button".

They usually laugh with me.

This is where my team comes in. I have a variety of amazing specialists that is ever growing, who support my clients in all aspects of their business (except bookkeeping)

My clients work with me to develop the strategy, and with my team to implement the day to day. It has become the perfect match.

One thing that also makes us different, is I do not believe in cookie cutter techniques. No two businesses are the same. I want to hear about YOU, YOUR business, and YOUR goals - then we apply techniques and systems to meet those goals.

One of the things I dislike most is during a sales call when someone asks me what my system is for XX. And, when I tell them, we do not have a system that matches all clients, we need to first look at their business they seem annoyed or puzzled.

I do not know about you. but when I speak with a business coach or virtual assistant, the last thing that I want to hear is that they are applying the same exact techniques for me as they did for the last 20 customers. I want to take the time to hear about YOU and develop a unique business blueprint that is customized to meet your needs.

That is what makes Virtually Empowered special, stand out and develop long-term relationships with our clients. I am seeing my clients as a whole person. If you are a service based entrepreneur, you know that YOU are YOUR business. So when you are struggling in a personal crossroads, it will absolutely affect how you show up. I am here to support YOU as a person, YOU as a business owner, and the team will support you in your day to day needs.

Want to learn more about Virtually Empowered, whether it be to hire a business coach, hire a virtual assistant or both with a customized plan , there are options available for you.

Open Your Mind to Possibilities

Open your mind

Is your business something that is regimented or something you are open to receive?

Many times would I see working with my clients, is that they are looking at their business with tunnel vision.

Well sometimes having tunnel vision is important, keeping your mind open to receive is equally as important.

Particularly in the development of an online business, Trends and software are constantly changing. Now don't get me wrong, it does not mean that you need to use all of them and spend all of your time focusing on the newest gadget... What I am saying, is when you are presented an opportunity to learn a new way of doing something that can be more efficient in your business and potentially help your business to grow, let it marinate for a moment.

We all have things that we like to do and can easily get stuck in our ways. As an entrepreneur, not having to report to a boss, we often can stay in our own head and not see what is directly in front of us.

Keep your eyes.
Keep your mind open.
Just simply ask yourself, what if?

Just know that things will present themselves, and it is up to you to evaluate how you want to proceed.

Want to work through these ideas together, and create a rock-solid plan?
Let's set up a free consultation, and discuss what that would look like. You do not need to figure it out alone.

Keep Your Passwords Organized & Safe

Many clients come to me when managing their projects, with forgotten passwords, passwords in a notebook, passwords saved on a computer, or everything is exactly the same.

Red Flag!

I cringe when I hear this when I think about what could happen to them should their information get into the wrong hands! Afterall, this is the livelihood of their business, and what if they got into the wrong hands?

I hear so many nightmare stories not only of someone having their passwords compromised, website hacked, and even bank accounts compromised.

In the high technology that we are surrounded with, it is far too easy to have them compromised, and undoing this process I do not wish on my worst enemy.

Then let's talk about the time wasted while you are looking for that secret piece of paper that you kept in a safe place! (How is that working out for you?)

My solution which I recommend to clients when they want to keep everything safe and secure and remember 1 simple password is Lastpass.

Not only will you have ALL of your passwords in 1 place (happy dance) you can securely share them with team members, your accountant and others who may need access. You can restrict the access when the other part no longer needs it. AND one more bonus, when you change your password and update the new one in the software, it automatically changes it with whomever you granted access.

It is a WIN WIN for everyone!

As for myself as the owner of multiple businesses and also managing sensitive client information, I do not know where I would be without it. Lastpass is so easy to use and very secure!

For more information on how this works, CLICK HERE.

Be sure to let me know what you think and how you like it!

The Mindset of a Successful Entrepreneur

Have you ever come to a point where you feel like you are ready to give up?
As an entrepreneur, this is something that crosses all of our minds at one time or another.
It does not mean that you have failed.
It does not mean that it will not work out.
It does not mean that it is over.

How you manage these thoughts is the KEY.
Look for the lesson.
What went wrong?
What did you learn?
How can you do it better next time?
Now DO IT.

It is not much different than that first time you tried to ride a bicycle.
Did you ever fall down?
Did you give up or get back up and try again?

THIS is the life of a successful entrepreneur.

5 Reasons to Know if You are Ready to Hire a Virtual Assistant

You have been toying with the idea of getting help, but where do you begin? As you sit back and look at your calendar, you have run out of space to add reminders. (Ok not the best example, I know, that space is REALLY SMALL) ....

You have a sticky note somewhere with today's to do list, you have lipstick scribbled on the mirror so you do not forget to feed the dog (poor Waldo!)

You are feeling overwhelmed, have lost control, and time is just flying as you manage the backend of your business. As a matter of fact, you have spent so much time on your day to day work that there is very little time to connect to your passion and the reason you started your business.

Working with my clients, gives me an opportunity to really understand them and build a relationship. No quickies here!

Since I began offering Virtual Assistant Support in conjunction with my Coaching and Strategy Session, the number one thing I have discovered is that when there is SO much to do, it is overwhelming to determine where to behind when you want to hire a virtual assistant.

I believe strongly on starting with the foundation. If we can get your backend automated, organized and in order then we can start to build and grow. I believe in planning for the best. If we implement a marketing strategy that takes off, are you really prepared to handle in when the clients come pouring in?

Here are some of the most common areas that we begin.

1. Inbox Overload - At one time you suffered from Shiny Object Syndrome, it was an emotional roller coaster of highs and lows followed by burnout. You grabbed everything you could get your hands on, registered for freebies, signed up for courses, you know how the story goes...

The result. You now have 7.5 MILLION unread messages, no folders, and missed the offer to guest star on Oprah because it went to SPAM! You do realize that was your opportunity of a lifetime, because you were going to be a co-star with Tony Robbins and Ellen Degeneres. But, that is in the past now so let's not dwell there.

Goodness Gracious - You need help!!

So what would have happened if you had a virtual assistant on your team? Well first of all, we would restrain you from subscribing to anything ever again. (Don't worry it is only $3 pink furry handcuffs- I am sure you will break out eventually) And while you are on lockdown, your virtual assistant will clean up that inbox!

Imagine Folders!
Imagine no missed emails!
Imagine Oprah wants to interview you SO bad that she gives you a SECOND CHANCE and you do not miss this one!

2. Social Media Madness Your intention was to get your message out there. You sat down Sunday night, planned out your content for the week (kudos this has been on your to do list for 4 years).

It is now THURSDAY and you have not posted ANYTHING, ok lies- you posted a super cute cat photo when he was snuggled in a jar that was only 4 inches wide. You meant to post on your Social Media Platforms, you really did you just forgot. I mean it happens right? Sure if you only missed this week, because you were distracted by the new pj's you bought your cat and the other 51 weeks of the year you nailed it - then you are in good shape.

The reality is you forget more often than not, Your Social Media and Online Presence has been neglected for some time now. It does not make you a bad person, you simply only have so much time in a day.

Now, what would that look like if you had a Virtual Assistant? You will see consistency, brand recognition, growth and even better CLIENTS! It is no secret, if you put yourself out there, clients will come!

3. You insist on doing it ALL and learning yourself - I commend you for your passion to learn and dedication to complete it all, but the reality is more than likely even after you take that 8 week class to learn custom coding so that your website hosted on Wix can light up like Times Square on New Years Eve, what they did not tell you in the beginning of the class was this was a Wordpress class and you do not even know how to install a theme on a wordpress site so you are stuck with your non-flashing black and white Wix website that is lost in cyberspace because it has not been optimized for Google.

What would have happened if you hired a Virtual Assistant? Well first of all, we would have talked you out of the website that flashes like New Years Eve in Times Square, simply because your viewers would go blind but also it would probably slow down how long it takes for your page to load.

I do not know about you, but I am from New York and if your page has not loaded in 5 seconds, I am outta here! In 5 seconds a New Yorker can speed read the newspaper, while drinking coffee and driving. (shh that was another secret) Your assistant would also recommend moving over to Wordpress and optimize your site because keywords and SEO optimization drives traffic, not a site lit up like Times Square.

The benefit of having a team of experts is so that you do not have to figure it out, you have time to appear on the Oprah show, you can focus on your clients and your assistant gets to do what they love!

4. You decided it was time to run with the big dogs and run Facebook Ads YOURSELF - It was a rainy Friday night, your date stood you up, maybe you had an extra glass of wine so you were feeling overly courageous and had nothing else to do, other than post more cat pics on Facebook which distracted you from the week of social media you had planned for your business. So you said.

What the heck - LET'S GIVE FACEBOOK ADS A TRY

You spent 4 hours trying to figure out what a pixel was. (And still are not sure)
You crafted 4 genius images for your ads that talked all about your upcoming retreat for $10,000 that lead to your sales page to pay in full. (with a small discount of course)
Your copy was great, so you thought. You talked about all of the pain points of your clients, (Because that was what you were taught on youtube two years ago when you had the flu)

What happens next?

Your ad is declined, you do not know why so you keep resubmitting it. Until the Facebook Genie gets so angry that you did not read the TOS, that he stops you from ever hitting enter again and suspends your account INDEFINITELY. Great, now how are you going to run ads?

If you hire a virtual assistant that specializes in Facebook Ads, they would know NOT to put your entire program on that tiny little image because not only can people not read it, but it violates Facebook Ads TOS, and would follow the 20% text rule.

They would also talk about the benefits your clients will get based on the service provided, and not talk in a negative way as Facebook TOS likes to keep the world a happy place.

Your virtual assistant would NEVER let you run an ad to a retreat that cost $10,000 without having a warm audience first. The warm audience could be your email list, (yes we can target your email list on a Facebook ad) or consumers that have visited your site previously because of the Pixel on a prior ad for a freebie for example. Your Virtual Assistant more than likely, would be assisting you in creating an email funnel and optin to nurture your new client and build the Know, Like, and Trust factor prior to introducing your $10,000 retreat. (Unless of course you are Oprah, and she does not really need an introduction)

Lastly your Virtual Assistant would have installed a pixel on your website to track conversions. A Facebook Pixel is like having a relationship rather than a one night stand, for those who do not use Pixels for their ads.  A pixel allows you to retarget that consumer, and see them again, unlike the ads without a pixel. Those consumers you will never see again, and you can go ahead and do the walk of shame afterwards.

5. You have written (key word written) 10 Programs and Sold Zero Your plan was to sell the program it really was. You wrote the entire program out on your desktop, several of them as a matter of fact. They are ready (sitting on a Microsoft doc on your desktop) You know if it is on your desktop that means you will remember to create the membership site right?

The problem is that because you have 7 Million emails sitting in your inbox and missed the opportunity to go on Oprah you decided to go have a glass of wine and had the courage to run the Facebook ad. Now you missed out on your Oprah appearance, your Facebook Ad account is disabled indefinitely, your website is not sparking like Time Square,  and you have been lost in a time machine of cat photos on Facebook for several weeks now.  . . .

Your intention was there to publish a membership site, but you did not know how and after the New years Eve fiasco on your website you gave up. So your amazing program you worked so hard on is just sitting on your desktop staring in your face day in, day out. You are tempted to file it away, but no then you would potentially never do it.
So it remains, on your desktop.
Unpublished.

If you hire a virtual assistant, what would happen? You would pass over your content to your assistant, give them a timeline (not tomorrow, let's be fair now) and they will publish it on the membership site of your choice.

What if you do not know what membership platform to use? Not a problem, you are working with an expert! They will guide you in the right direction, after all they have problem worked on most of them.

Our Story.. and the Birth of Virtual Empowerment

Being alone in your business can be scary and downright overwhelming.
It can feel like your mind is just in a constant spin of ideas, but no execution.

I spent several years trying to get my business off the ground because I thought I had to do it all alone. When I finally let go, and stopped wasting my energy doing the things I did not like, I watched the flow begin.

When I was doing it alone, I literally was throwing shit on a wall to see what would work.
I suffered from shiny object syndrome, and enrolled in every class I could get my hands on (making more work for myself)

So picture this... Working full time, building my coaching practice, taking every possible DIY class I could get my hands on, trying everything but not really mastering any of it ..

What do you think happened?

I was burnt out.
I almost gave up on my business.
I thought it was impossible.
I felt trapped in my "9-5", because I could not see a light at the end of the tunnel.

So what did I do?
I stopped trying to do everything! I did what I loved to do, which is serve others and from there www.virtuallyempowered.com was born!

I knew that others had the same pain and struggle I was facing and that I was not alone.
I knew that the knowledge I had would support others to help their lights shine and give them the permission to focus on doing what they love and share their gifts.

I developed my team based on what I knew I needed, and now my team supports my clients for what they need.
Collaboration
Expertise
Guidance
Support
Professionalism
Structure
Beauty
Fire

The perfect business blueprint that gives you back the gift of time.

This is what Virtually Empowered Stands for.

Who are You Talking To?

Have you ever found yourself talking and no one is listening? You think you have a great message, but then crickets?

You craft your message, and get no response.
You post your blog, but no one even reads it.
You send out an offer, and you do not even get one nibble.

You are passionate.
You are focused.
You are wanting to serve.

So what the hell is wrong?

Your message is simply too watered down. You are desperate, trying to please everyone and get some action in your business - but instead it is causing the opposite effect. No one is listening, because your message is simply not in their language.  So it does not "land" anywhere.

Desperation is NOT a good look!

How do you fix that, believe it or not - I am going to give you my secret weapon!

This works about 89% of the time, and it is going to work for you too. Take a moment, and reflect. Imagine where you were 5 years ago in your life. Think about one of the biggest obstacles you were working through and answer yourself these questions:
(ok maybe it was 6 years ago, let's not get stuck there ... )

  1. What obstacle were you working to overcome?
  2. What did you need at that time?
  3. What was missing in your life?
  4. What tools did you use to work through this challenge?
  5. How does this relate to the message in your business today?

I work through this exercise with at least half of my clients, and it just about always seems to return an eye opener. So why 5 years? That is just enough time to have worked through a problem, have detached from the turmoil or pain, and feel strong about the decision you made whereas you feel confident sharing this gift with others.

PS- This is how Virtually Empowered was born! I looked at my coaching business and what was missing. I did not know how to build an online business at the time, I tried to do it all alone. I built Virtually Empowered around everything I wish I had when I started as a coach.

Now don't kick yourself too hard if it does not come up right away, sometimes it is like the after effects of an earthquake that gives a softer need for attention, a gentle rumble.

Take note not just today, but the next few days and see what surfaces.

Then share it with me! (leave your comments below or email me!  Still feeling stuck, and you could use some help? Schedule a call with me and let's see what we can come up with together!

Lotsa XO,

10 Ways to Build An Email List

While social media marketing is the latest marketing frontier, email lists remain the best way to communicate with your customers. Email provides the best ROI in terms of selling to your customers, even beating popular social platforms. Before you can explore email marketing, though, you need to build an email list. Here are some ideas to help you get started and keep your list growing.

 1. Create great email content

Content is always number one. If you want to build a dedicated audience that respond to your pitches, you have to give them valuable content in return. A large part of building an email list is making promises; your content is where you deliver on those promises. If you do a good enough job, people will be eager to join your list and stick around.

2. Build a website

There are two reason websites are very important to your email list: 1. Your website is a great place to promote your email list, and 2. Your website is a place for leads to gather and learn more about your business. Without a website, you’re probably going to have a hard time getting people to sign up for your list.

3. Promote your email list on your website

If your email list is your main focus, your website should be funneling leads toward a call-to-action to provide their email. Even if it isn’t your main focus, there should be a CTA somewhere that allows visitors to easily join your email list. That way, when you promote your website, you’ll also be promoting your email list.

4. Create great website content

While you’re working on your website, be sure to hold that website content to the same standard as your email content. This is especially important if you have a blog. Your audience will respond to valuable content wherever it is. They’ll also walk away if they sense you’re just trying to sell them something. Give them a reason to trust your email list.

5. Build a social media account

If you don’t already have at least one social media account, you probably shouldn’t be worrying about an email list just yet. At any rate, be sure to include CTAs for your email list (or whatever your email list is offering) on your social media profiles.

6. Create great social media content

Are you detecting a theme yet? Your social media content, website content, and email list content should not only all be great, but they should work together to build your audience and move your leads toward conversion.

7. Advertise on social media

Good old advertisements still works, you just have to know how to use them. Facebook ads are particularly useful since Facebook is great at targeting your audience, but other social platforms can be useful as well. Just create ads that let people know what your email list can provide to them.

8. Make an offer

You can offer discounts and deals, but some of the best offers are things you can provide for no cost other than your time. People will join email lists that promise them exclusive information, ebooks, and other resources that you can create for free. The key is to know what your audience actually wants (hint: they don’t want your product, they want the benefits of your product).

9. Hold a contest

People love free stuff and, as long as the entry fee is low, they’ll enter a contest for a chance to obtain said free stuff. Since you’ll only be asking them for their email address, the entry fee is essentially zero. Just be sure to offer a prize that gets your audience’s attention.

10. Get out of the office

While digital marketing is certainly the way to go these days, face-to-face marketing still works. If you see any offline events that interest you, consider attending and networking while you’re there. It’s more work for what will probably be a smaller number of leads, but the quality of those leads will be far higher than any anonymous email address. At the end of the day, quality makes more sales than quantity.

I know sometimes it is easy to be bogged down by the day to day tasks, that it can feel like this is just adding more things to your to do list. If you feel that you could benefit from a "done for you" service - I would love to hear your comments below.

I am in the midst of building a full 30 day list building product where we do ALL the work for you. It is something that I know my clients will really love, because who does not want an amazing email list?

I have been gathering tips and tools over the last 2 months and about to launch in the fall. Tell me in the comments below if this is something that would interest you and if you don't want to miss out on my early bird special, make sure you sign up for my newsletter below.

My secret to kicking fear in the bootie!

How many times has fear crept up on you and left you paralyzed?

I bet you have said to yourself at one time or another something along these lines:

  • It just was not meant to be (AKA- I failed and I give up)
  • This always happens to me (AKA - I failed and I give up)
  • I did not really want to do it anyway (AKA- I failed and don't want you to know how bad I wanted it)
  • I will do it next week (AKA- If I do it today- I might fail and I am not prepared to deal with failure)
  • This is just my luck (AKA- If I act like I expect nothing of myself, I can never fail or disappoint myself)

Have I hit home yet? Guess what- YOU ARE NOT ALONE!

Half of the reasons we do not get ahead and accomplish our goals is because we did not mentally prepare and get out mind into the right place. I am sure you are wondering now, well..

How the heck do I do that?

I thought you would never ask! I have taken on this nifty trick that has gotten me through some of the scariest decisions I have ever made and it is something that I want for you as well.

This is a 2 part process so let's start with Step 1

1. Let go of the need to be CERTAIN of the outcome. According to Tony Robbins, and a test he often recommends called the Six Human Needs one of the most common highest needs is a desire for certainty. I know first hand about this because it is what keep me in a career I hated for nearly 20 years.  In working with law and finance for 20 years, it fought against every grain of my being as I am someone who thrives in helping others and being of service. Fear of the unknown and leaving this career and my steady paycheck is what had me feeling trapped and burdened by the unknown possibilities. As I gradually began to embrace new challenges, and small victories where I allowed change and uncertainty into my life is when I started to feel alive and truly step into my deepest and truest self.

2. Define the outcome if no action is taken. Take a moment and look at your problem. Imagine something that you want to do but that you are scared to move forward on.

  1. Now imagine that no action was taken or that you never tried.
  2. What are the results of remaining status quo and how will it negatively impact your life?
  3. What is the worst case scenario if you NEVER do it?
  4. How will that hurt you and what will it affect?
  5. Who else is impacted by this decision in your life?
  6. By not trying, how will it affect them?
  7. If you see yourself in 5 years, in the same place and did not take the initiative to make that move, how do you think you will feel when looking back?
  8. What will that affect have on your life in 5 years?
  9. How will others around you be impacted in five years?
  10. How do you feel this in your body now that you are stuck and not moving through where you need to be?

Make this exercise as VIVID AND BOLD as you can. The uglier and more deep you go with it the greater impact you will have. The key is we are often more motivated by pain than pleasure. So using this as your focal point to push through where you are stuck, can take the shift away from fear as your goal becomes to avoid pain. The pain of not trying ends up to be far worse than simply trying something and not succeeding.

Remember to fail forward and embrace failure. It means that you tried and got out of your comfort zone!

What will you try TODAY that you have been putting off?

If you need help with making this boldly unbearable, and build a plan towards execution- shoot me a message and we can certainly chat!

6 Tools Guaranteed to Stop Procrastination & Overwhelm

Are you feeling overwhelmed and not sure what to do next?

Forgetting important dates or appointments?

Most of the tasks business owners procrastinate on aren’t difficult to do at all. We have the talent and skills to accomplish them. We just avoid doing them for one reason or another. When you commit to doing them, you complete them without any complaints. When you commit, you're focused. Your decisions drive you, and you know what you need to do to make it happen, and you just do it.

It’s remarkable how many tasks we procrastinate on that we could get done in a small amount of time.

These 6 tools will surely help you stop procrastinating:

1. Focus booster

As cliche as that sounds, it does precisely what the name implies. This app uses the principles of the infamous Pomodoro method for those who feel submerged by daily tasks. It was specifically created to improve your focus and eliminate any anxiety you might have with time.

2. Remember The Milk

RTM provides you with all the functionality you’d need, with regards to helping you to stop procrastinating on finishing the job.

This tool is available as a web-based software, but you can also access it through various mobile devices running on iOS, Android, or BlackBerry’s operating system. Besides that, you can also integrate it with several different online services such as your Gmail accounts, Google Calendar, MS Outlook, Evernote, or even Twitter. Many don't know this, but yes, you can add tasks via your Twitter account(s).

3. MyLifeOrganized (MLO)

If you are having difficulty managing all your business and personal plans, then MLO is the way to go. MLO helps you organize your to-do lists and plan your (life's) goals. This task management system helps you target what you should be focusing on to achieve your objectives. It creates to-do lists automatically for you, with actions according to priority for your urgent attention. This automation allows you to track your progress methodically.

4. Toggl

Toggl is a tool the helps you track the time you spend on projects. Toggl is an excellent alternative to time-sheets which allows you to track time spent on various projects. Stopping procrastination starts with being clear on exactly how much time you spend on your tasks and analyze your management.

Here is an excellent explanation of HOW to use Toggl, step by step

5. Mind42

Mindmapping is a great technique used to prevent procrastination.  Mind42 is one of the best free mindmapping apps out there. Mind42 helps you get more organized by helping you organize your ideas,  thereby attaining clarity on the tasks at hand.

6. Focus at will

Increase your attention span.  This incredible app gets in your head (so to speak) and uses music to boost your productivity, which is anti-procrastination. Increasing your attention span by up to 400% is possible!

If you're not using one of the hundreds of apps and tools out there, you're missing out on the opportunity to stop procrastinating. With so many of these tools to choose from, how do you know which ones to download and use? This, of course, depends on your needs.

What are you procrastinating on? Do you think any of these tools can help you stop

Top 6 Online Appointment Schedulers

Online meeting scheduling tools accommodate useful, efficient, and profitable solutions for consulting and professional service companies.  They allow them to manage their customer, vendor, and prospect communications.

Out of the hundreds of tools that seem to whiz through my social streams and inbox, these are the tools I know I’m going to use the most this year.

This article lists 6 of the top 6 online appointment schedulers available that provide online appointment scheduling, accompanied by some real-life examples.

1. ScheduleOnce

ScheduleOnce is a powerful and easy-to-use meeting and appointment scheduling software that runs well with private calendars to promote competitiveness, boost customer fulfillment and save time. Whether you are organizing group meetings or interviews for yourself or accepting bookings in your enterprise, ScheduleOnce can adjust and calibrate to your needs. ScheduleOnce offers a broad range of affordable plans and also provides a free plan that anyone can use.

Critique for ScheduleOnce originates mostly from users noting feature limitations. No (public) issues with the customer service, account management, nor software functionality exist.

2. Calendly

Calendly is another application that relies solely on Google. Signing requires an active Google account and Calendly syncs also with Google's Calendar. Once an invitee has accepted a meeting request, it will add the session to your guest’s Google, iCloud, or Outlook calendar immediately

Calendly saves session types, so you can easily duplicate weekly or monthly appointments, keeping your preferences for length of the meeting and open time-slots intact without modifying your default settings for your new appointments. While Calendly works excellently for scheduling a meeting with individuals or organization members, its custom events links work ideal for distributing events with clients and customers, too.

3. Timetrade

TimeTrade is one of the most honest scheduling platforms on the market. It doesn’t ask for much data about you, your users, or your appointments, and there aren’t many actions to take through to setup. While it's not the most charming or most flexible software, TimeTrade is astonishingly easy to use.

Much of the frustration that comes forth in customer feedback had to do with TimeTrade’s primary setup as a scheduler with individual links for each kind of one-on-one meeting a user creates.

4. YouCanBook.Me

The amount of settings available in the free version is quite astonishing, almost too much functionality if you can live with a “Powered for FREE by YouCanBook.Me  button at the bottom of your page, there is no need to upgrade to a paid package. The initial task you’ll need to carry out is to link your Google account.

Sometimes the interface is not perfect, but I can live with that. They could make integrations a bit easier. The default templates on the free account are not attractive. Most are also utterly useless with regards to functionality and layout. To get even the least bit of customization, you need a paid plan.

5. Acuity

Acuity Scheduling is a compelling online meeting scheduling application that enables your customers and workers to schedule appointments and meetings. Up to 12 staff employees can log in and use the group calendar to enable all to see who is free and to work around each other's agenda. The program is easy and instinctive to use for both staff and clients.

Acuity does have an extremely limited CRM (Customer Relationship Management). Exceeding a basic client list, meeting verification email, and text/email reminders, Acuity provides no relationship with or significant insight into your business’ clientele. Acuity suggests strengthening its use with an outside party.

6. Appointy

Appointy is incredibly easy to use, even for one new to meeting booking applications or afraid of being flooded by the software’s multiple functions. Anyone who's familiar with Google Calendar or other Google apps will have an exceptionally easy time understanding how to maintain the application, with its clickable calendar and comparable layout.

Appointy has various grammatical and connection issues. While these are insignificant within the GUI itself, there are multiple times when it can make communication complex, especially when communicating with the team and communicating technical issues. At times, it can even make using the documentation harder than it needs to be.

Now that you have the right tool, you need the right team behind you to support your business. At Virtually Empowered,  Your Virtual Assistant will help you to set up your calendar and find the fit that best meets the needs of your business.

The Impact of the Colors of Your Website

Have you ever thought about what the colors on your website mean?

Color holds tremendous power over our moods and emotions. Let us get familiarized with the context of this article. Since color is universal, you would surely need to know where you should use these color suggestions that will be discussed in this article. When, where, why and how should the use of color be implemented? We'll be talking mainly about the color design of a site, which involves the tint of headline type, backgrounds, hero graphics, buttons, borders, and popups.

Color psychology is the science of how color affects human behavior. There is a lack scientific data to prove every claim, but that alone is no reason to disregard the intense and unarguable effect that color has on individuals.  Using the right color is the right way to go. However, color is a complicated thing. It needs to be employed in the right way, at the right time, and for the proper purpose, and with the right audience.

Here are some color tips and tricks that will increase your site conversions:

1. Women tend to stay away from gray, orange, and brown. They prefer purple, blue, and green. The sociological contrast between color preferences is a study unto itself.

Most people assume that the most loved color among females is the color pink. That is far from true. Merely a minute amount of women chooses pink as their preferred color. Therefore, while pink may insinuate womanhood in color psychology, this does not imply that pink is expressly pleasing to all or even most women. Use colors other than pink. As mentioned earlier in this section, try blue, purple, and green and you will enhance the attraction to your e-commerce website to potential female buyers. That may also, in turn, increase your conversions.

2. If men are your target audience, you should stay away from purple, orange, and brown. Rather, use green, blue, and black. These colors are typically correlated with males.

3. Blue: one of the most commonly used colors, with good reason. Many like blue. It is a color of trust, peace, order, and loyalty. Blue induces tranquillity and peace. It's often characterized as calm, serene, safe, and orderly. There is a mutual understanding of the psychological influences blue has on people. Blue's subtle yet powerful message of honesty and serenity is valid. Use blue to your advantage on your site and capture pages.

Hint: The world’s biggest social network is blue. This company's core values are transparency and trust. This choice of colors is probably not an accident.

4. Yellow serves as a warning. This might be why yellow is used for, traffic signals, and wet floor signs. It seems odd, though, that some psychologists argue that yellow is the color of happiness.

5. The color green is perfect for environmental and outdoor products. Possibly the most natural color connection is green. Green is an inherently chromatic symbol for nature itself

6. Orange can create a sense of haste or desire. Orange can also be used as the “fun” color. It helps to incite physical activity, engagement, and determination. This can be the reason why orange is used massively by sports teams and children’s merchandise companies.

7. Black combines a sense of extravagance and value. The more mysterious the tone, the more lux it seems. Black exudes elegance, sophistication, power, which is exactly what luxury stylists and high-end e-commerce website want you to experience.

8. Use bright colors to highlight your call to action on your site. In strict testing conditions, the best colors for calls to action are bright primary and secondary colors – red, green, orange, yellow.

9. Don’t underestimate white. However, color theorists cannot agree on whether white is even a color or not. It actually shouldn't matter whether it is or not. What's interesting is that the liberal use of white space is a powerful design feature. Take, for example, one of the most popular websites in the world: Google.

The world wide web is an unusually colorful place, and there is a lot that can be achieved by using color in general in the right way, at a determined time, with a targeted audience, and for the right purpose.
