Can you feel it? Love is in the air! 

You know that feeling when you first fall in love, the world can do no wrong, you are dancing on clouds and just want to share your happiness with everyone....

For those of you who do not know me, I am a Transformational Coach and Business Strategist. I am also the founder of Virtually Empowered, LLC.

At Virtually Empowered, I have the opportunity to work with a variety of service based businesses with heart, soul and passion for what they do and the gifts they offer.

The reason I say that this business was designed around my client, and my client is me, is that when I first launched my coaching practice ten years ago, I craved having a mentor as well as someone to help with the day to day tasks.

Each time that I worked with my coach, it simply gave me more work to do, and it was work that I either did not have time for or did not enjoy. I have already been in the trenches of the work, and that is why I see my clients so clearly and understand what they need.

I was Born to Inspire and Serve Others

Is your passion to support, inspire and serve others?

So am I!

I remember when I first started my coaching business 10 years ago, on my own. There was not quite as much knowledge about the support that was available to help me, so I elected to chose the path of doing it all on my own. 

Ah yes, I remember it clearly. I just graduated from coaching school after an intense 10-month program ready to serve the world. When they talked about marketing in class, they almost made me feel like people would be knocking down my door. 

It was crickets. 

So I began venturing to create all of the necessary steps to organize a business myself. After all, for the last 20 years, I had some kind of management role in my career, and my role at the time was business development director for a law firm. 

If this firm was able to trust me, my ability to grow our business consistently, certainly I could do this for myself? Right? 

As I managed my full-time job at 60+ hours per week, and put my heart and soul into marketing, building my own website (yes that was interesting, to say the least) and getting my hands on every marketing how to class out there ... I was getting burnt out! I was not ready to give up though!

I took a break from my personal coaching, at least I did not market it, and after receiving a blessing to get severance from my job (this is a long story for another day), I launched Virtually Empowered.

So what sparked me to do this? 

A few things to be honest. One was after my severance pay ended, I was entitled to unemployment in NY while I built my business, but it had to be a brand new business I never had before.

Initially, I was disappointed to hear that I could not officially work on my coaching business, that was so important to me as I felt as though I spent my life preparing for it. Then I saw the blessing. I saw what I was meant to do and it was crystal clear! 

I was my client. I saw things differently. 

I was meant to inspire other new business owners and lead them to build their business.
It was as though fireworks were going off!

I knew how many people out there, had a deep passion to serve others through various modalities, but often did not succeed in their business, because they were not focused on the "back end" of what was needed. 

They became overwhelmed by the day to day tasks, unclear how to create a consistent marketing message, did not know how to reach their clients, and let's not even talk about all of the technology needed to maintain their business. 

They were also burnt out from trying to figure it all out.

I saw that I was my client.

What was different was that I now had the time to apply all that I learned for my business, but was not allowed per-say if I wanted any support from unemployment. Now let's also be very clear that when you shift from a 6-Figure salary to unemployment, you are absolutely going to take every bit of help you can get to put things in motion.

This is when Virtually Empowered was born. My plan was to work with my clients as a Business Coach, Strategist, and Online Business manager while offering a team that specialized in working as Virtual Assistants for Heart-Centered Entrepreneurs

It was so easy to market to my clients, because I spoke their language, I understood their needs, and I knew how to help, What I always tell my clients, is I can see your vision, I can strategize with you, I can support you on your mindset and emotional blocks, but I cannot "push the button". 

They usually laugh with me. 

This is where my team comes in. I have a variety of amazing specialists that is ever growing, who support my clients in all aspects of their business (except bookkeeping) 

My clients work with me to develop the strategy, and with my team to implement the day to day. It has become the perfect match.

One thing that also makes us different, is I do not believe in cookie cutter techniques. No two businesses are the same. I want to hear about YOU, YOUR business, and YOUR goals - then we apply techniques and systems to meet those goals. 

One of the things I dislike most is during a sales call when someone asks me what my system is for XX. And, when I tell them, we do not have a system that matches all clients, we need to first look at their business they seem annoyed or puzzled.

I do not know about you. but when I speak with a business coach or virtual assistant, the last thing that I want to hear is that they are applying the same exact techniques for me as they did for the last 20 customers. I want to take the time to hear about YOU and develop a unique business blueprint that is customized to meet your needs.

5 Reasons to Know if You are Ready to Hire a Virtual Assistant

You have been toying with the idea of getting help, but where do you begin? As you sit back and look at your calendar, you have run out of space to add reminders. (Ok not the best example, I know, that space is REALLY SMALL) .... 

You have a sticky note somewhere with today's to do list, you have lipstick scribbled on the mirror so you do not forget to feed the dog (poor Waldo!) 

You are feeling overwhelmed, have lost control, and time is just flying as you manage the backend of your business. As a matter of fact, you have spent so much time on your day to day work that there is very little time to connect to your passion and the reason you started your business.

Working with my clients, gives me an opportunity to really understand them and build a relationship. No quickies here! 

Since I began offering Virtual Assistant Support in conjunction with my Coaching and Strategy Session, the number one thing I have discovered is that when there is SO much to do, it is overwhelming to determine where to behind when you want to hire a virtual assistant.

1. Inbox Overload - At one time you suffered from Shiny Object Syndrome, it was an emotional roller coaster of highs and lows followed by burnout. You grabbed everything you could get your hands on, registered for freebies, signed up for courses, you know how the story goes...

The result. You now have 7.5 MILLION unread messages, no folders, and missed the offer to guest star on Oprah because it went to SPAM! You do realize that was your opportunity of a lifetime, because you were going to be a co-star with Tony Robbins and Ellen Degeneres. But, that is in the past now so let's not dwell there.

Goodness Gracious - You need help!!

So what would have happened if you had a virtual assistant on your team? Well first of all, we would restrain you from subscribing to anything ever again. (Don't worry it is only $3 pink furry handcuffs- I am sure you will break out eventually) And while you are on lockdown, your virtual assistant will clean up that inbox!

Imagine Oprah wants to interview you SO bad that she gives you a SECOND CHANCE and you do not miss this one! 

2. Social Media Madness Your intention was to get your message out there. You sat down Sunday night, planned out your content for the week (kudos this has been on your to do list for 4 years). 

It is now THURSDAY and you have not posted ANYTHING, ok lies- you posted a super cute cat photo when he was snuggled in a jar that was only 4 inches wide. You meant to post on your Social Media Platforms, you really did you just forgot. I mean it happens right? Sure if you only missed this week, because you were distracted by the new pj's you bought your cat and the other 51 weeks of the year you nailed it - then you are in good shape. 

The reality is you forget more often than not, Your Social Media and Online Presence has been neglected for some time now. It does not make you a bad person, you simply only have so much time in a day. 

Now, what would that look like if you had a Virtual Assistant? You will see consistency, brand recognition, growth and even better CLIENTS! It is no secret, if you put yourself out there, clients will come! 

3. You insist on doing it ALL and learning yourself - I commend you for your passion to learn and dedication to complete it all, but the reality is more than likely even after you take that 8 week class to learn custom coding so that your website hosted on Wix can light up like Times Square on New Years Eve, what they did not tell you in the beginning of the class was this was a Wordpress class and you do not even know how to install a theme on a wordpress site so you are stuck with your non-flashing black and white Wix website that is lost in cyberspace because it has not been optimized for Google. 

What would have happened if you hired a Virtual Assistant? Well first of all, we would have talked you out of the website that flashes like New Years Eve in Times Square, simply because your viewers would go blind but also it would probably slow down how long it takes for your page to load.

I do not know about you, but I am from New York and if your page has not loaded in 5 seconds, I am outta here! In 5 seconds a New Yorker can speed read the newspaper, while drinking coffee and driving. (shh that was another secret) Your assistant would also recommend moving over to Wordpress and optimize your site because keywords and SEO optimization drives traffic, not a site lit up like Times Square. 

The benefit of having a team of experts is so that you do not have to figure it out, you have time to appear on the Oprah show, you can focus on your clients and your assistant gets to do what they love! 

4. You decided it was time to run with the big dogs and run Facebook Ads YOURSELF - It was a rainy Friday night, your date stood you up, maybe you had an extra glass of wine so you were feeling overly courageous and had nothing else to do, other than post more cat pics on Facebook which distracted you from the week of social media you had planned for your business. So you said. 

What the heck - LET'S GIVE FACEBOOK ADS A TRY

You spent 4 hours trying to figure out what a pixel was. (And still are not sure) 
You crafted 4 genius images for your ads that talked all about your upcoming retreat for $10,000 that lead to your sales page to pay in full. (with a small discount of course) 
Your copy was great, so you thought. You talked about all of the pain points of your clients, (Because that was what you were taught on youtube two years ago when you had the flu)

What happens next? 

Your ad is declined, you do not know why so you keep resubmitting it. Until the Facebook Genie gets so angry that you did not read the TOS, that he stops you from ever hitting enter again and suspends your account INDEFINITELY. Great, now how are you going to run ads? 

If you hire a virtual assistant that specializes in Facebook Ads, they would know NOT to put your entire program on that tiny little image because not only can people not read it, but it violates Facebook Ads TOS, and would follow the 20% text rule.

They would also talk about the benefits your clients will get based on the service provided, and not talk in a negative way as Facebook TOS likes to keep the world a happy place. 

Your virtual assistant would NEVER let you run an ad to a retreat that cost $10,000 without having a warm audience first. The warm audience could be your email list, (yes we can target your email list on a Facebook ad) or consumers that have visited your site previously because of the Pixel on a prior ad for a freebie for example. Your Virtual Assistant more than likely, would be assisting you in creating an email funnel and optin to nurture your new client and build the Know, Like, and Trust factor prior to introducing your $10,000 retreat. (Unless of course you are Oprah, and she does not really need an introduction)

Lastly your Virtual Assistant would have installed a pixel on your website to track conversions. A Facebook Pixel is like having a relationship rather than a one night stand, for those who do not use Pixels for their ads.  A pixel allows you to retarget that consumer, and see them again, unlike the ads without a pixel. Those consumers you will never see again, and you can go ahead and do the walk of shame afterwards. 

5. You have written (key word written) 10 Programs and Sold Zero Your plan was to sell the program it really was. You wrote the entire program out on your desktop, several of them as a matter of fact. They are ready (sitting on a Microsoft doc on your desktop) You know if it is on your desktop that means you will remember to create the membership site right? 

The problem is that because you have 7 Million emails sitting in your inbox and missed the opportunity to go on Oprah you decided to go have a glass of wine and had the courage to run the Facebook ad. Now you missed out on your Oprah appearance, your Facebook Ad account is disabled indefinitely, your website is not sparking like Time Square,  and you have been lost in a time machine of cat photos on Facebook for several weeks now.  . . . 

Your intention was there to publish a membership site, but you did not know how and after the New years Eve fiasco on your website you gave up. So your amazing program you worked so hard on is just sitting on your desktop staring in your face day in, day out. You are tempted to file it away, but no then you would potentially never do it.
So it remains, on your desktop.
Unpublished. 

If you hire a virtual assistant, what would happen? You would pass over your content to your assistant, give them a timeline (not tomorrow, let's be fair now) and they will publish it on the membership site of your choice.

What if you do not know what membership platform to use? Not a problem, you are working with an expert! They will guide you in the right direction, after all they have problem worked on most of them.

7 Tips to Organize Your Inbox

When using your email appropriately, it can be an incredibly useful tool of communication.

We may feel a bit overwhelmed by the volume of mail that we receive and need to answer. Nevertheless, there are several ways to organize your inbox so that you're more productive. Let's explore strategies for doing so, so that you can get on with the real work at hand:

 

1. Don't be afraid to delete

Take action on every email you read. Don't save it or move it into a folder to deal with at a later time. If you're unable to take immediate action on your mail, have someone else take care of it and delete it. You don't need to respond to every email, and there is no reason to save it for later. 

2. Setup rules, filters, or labels

All updated email software and online email services have rules, filters, or some form of labeling system that enables you to transfer and otherwise organize all incoming email. Use these options to organize and prioritize your email and get to what's most urgent first.

3. Automatic replies, FAQs, and canned responses

Have you ever used the same response repeatedly? If you have, please try building a list of your most common responses that you can easily copy and paste. Copy-pasting your replies will save you at least 5 minutes per email response, depending on the depth of the support needed.

4. Keep it simple

People over complicate things many times with regards to their email by creating scores of folders to help them organize their emails. They every so often forget to keep their email organization simple. If there's no way of getting around your need for creating folders for storing emails, then use the rules to separate your messages into the folders. Folders can save hundreds of hours you may be spending thinking about and organizing each of the e-mails you receive. 

5. Unsubscribe from mailing lists

Although you set a goal for subscribing to the various newsletters or other email lists, these are more of a huge distraction to you than you would like to admit. It's junk in its purest form. Unsubscribe from any lists that you have not frequently been reading. 

6. It's your email, not your calendar or to-do list

A person’s inbox, for both personal and business use, is full because they are treating it as if it's a calendar or to-do list. Your email is not intended for this. Use a separate application or use text document to save the list of tasks you need to carry out or that keep track of your calendar of events. 

7. Use groups

Should you email the same people frequently, set up a group or email alias. It's called a Distribution List in Outlook, for instance. This will not only save you time, but you'll also set yourself up for easy deleting tactics.

How Does Hiring A Virtual Assistant Free Up Your Time?

We have all been there right? Is your brain known for coming up with random ideas in the shower that never come to the table? When was the last time you TRULY had nothing to do? That does not happen when you are an Entrepreneur.
